Summary

As the Back Office Coordinator, you'll be a key member of our team, providing a variety of essential tasks that keep our back office running efficiently. Your responsibilities will encompass a range of duties, from managing administrative tasks and processing paperwork to coordinating logistics and ensuring smooth communication between departments. You'll also be responsible for maintaining accurate records, troubleshooting any issues that may arise, and providing exceptional support to our internal teams. Your success will be measured by your ability to manage multiple tasks effectively, prioritize your workload, and consistently deliver exceptional service with a positive attitude.

Key Responsibilities:

  • Manage and process administrative paperwork, including invoices, contracts, and expense reports.
  • Maintain accurate and up-to-date records in various databases and filing systems.
  • Coordinate logistics for internal events and meetings.
  • Schedule appointments and manage calendars for assigned staff members.
  • Provide administrative support to various departments (e.g., HR, Finance, Operations).
  • Respond to inquiries and requests from internal and external stakeholders in a professional and timely manner.
  • Troubleshoot any administrative issues that may arise and find solutions independently.
  • Prepare reports and presentations as required.
  • Ensure adherence to company policies and procedures.

Required Skills and Qualifications:

  • Bachelor's degree (preferred) or equivalent experience in administration or a related field.
  • Minimum 1 year of experience in an administrative or back-office support role.
  • Strong organizational skills and a meticulous attention to detail.
  • Excellent communication, interpersonal, and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
  • Positive attitude, professionalism, and a commitment to providing exceptional service.

Experience:

We are looking for candidates with a minimum of 1 year of experience in an administrative or back-office support role.
