Job Summary

The Office Executive will play a key role in supporting our team and maintaining a smooth work environment. You'll provide comprehensive administrative support, manage office logistics, and ensure seamless day-to-day operations. This role requires a strong foundation in organization, excellent communication skills, and the ability to manage multiple tasks effectively.

Key Responsibilities

  • Manage office calendars and schedules for staff, including scheduling meetings, appointments, and travel arrangements
  • Oversee office supplies and equipment, ensuring timely restocking and maintenance
  • Coordinate with various departments across the organization (e.g., HR, Finance, Marketing)
  • Provide administrative support to different teams, including managing documents, preparing presentations, and handling correspondence
  • Manage travel arrangements for staff as needed (booking flights, hotels, and transportation)
  • Maintain filing systems (physical and digital) for efficient document organization
  • Process expense reports and ensure adherence to company policies
  • Assist with onboarding new employees
  • Greet visitors and answer phone calls in a professional and courteous manner
  • Maintain a professional and organized work environment

Required Skills and Qualifications

  • Bachelor's degree in Business Administration, Office Administration, or a related field (or demonstrably relevant experience)
  • Minimum of 1 year of experience in an office administration or administrative assistant role
  • Strong organizational and time management skills with the ability to prioritize and manage multiple tasks effectively
  • Excellent communication and interpersonal skills, both written and verbal
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to learn new software and adapt to changing priorities
  • Discreet and professional demeanor
  • Strong attention to detail and a commitment to accuracy
  • Ability to work independently and as part of a team
  • Positive attitude and a willingness to go the extra mile
