Job Summary:
We are seeking a highly motivated and organized individual to join our team as an Executive Assistant. You will report directly to a senior leader within BHEL and provide comprehensive administrative and operational support. Your key responsibilities will include:
- Managing the executive's calendar, scheduling appointments, meetings, and travel arrangements.
- Anticipating the executive's needs and proactively taking initiative on tasks.
- Composing and managing professional correspondence, including emails, presentations, and reports.
- Organizing and coordinating meetings, ensuring agendas are prepared, materials are distributed, and minutes are taken.
- Handling travel logistics, including booking flights, hotels, and ground transportation.
- Managing expense reports and ensuring timely filing and reimbursements.
- Maintaining an organized filing system for physical and electronic documents.
- Screening phone calls and emails, prioritizing messages, and directing inquiries appropriately.
- Researching and gathering information to support the executive's decision-making.
- Performing other administrative tasks as assigned.
Key Responsibilities:
- Excellent organizational and time management skills with the ability to prioritize multiple tasks effectively.
- Strong communication skills, both written and verbal, with the ability to draft clear, concise, and professional correspondence.
- Proactive and resourceful approach to problem-solving.
- Ability to maintain confidentiality and discretion in all aspects of the role.
- Meticulous attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent calendar management skills using scheduling software (e.g., Outlook Calendar).
- Ability to work independently and take initiative while also being a team player.
- Adaptability and ability to thrive in a fast-paced environment.
Required Skills and Qualifications:
- Bachelor's degree in any discipline or equivalent experience.
- Minimum 1-2 years of experience as an Executive Assistant or similar administrative role.
- Prior experience working in a fast-paced and demanding environment is preferred.
- Knowledge of BHEL's industry (engineering/power sector) is a plus.
Experience:
This position is open to both freshers and experienced candidates. For freshers, strong academic performance, excellent communication skills, and a willingness to learn are highly valued. Experienced candidates should possess a minimum of 1-2 years of experience as an Executive Assistant or a similar administrative role. Prior experience working in a corporate environment and knowledge of BHEL's industry are considered strong assets.
